 Tip

In order to set your own version of the report, click on the "Settings" icon which appears as a gear in the top right side of the report. Then select the columns you wish to see and set filters and save by giving it a name. Thus you can create your own report variations for various purposes. Example you can create multiple versions of the Sales Order report. One could be filtered Sales region wise. The other could be Product Category wise etc.

 

 Did you know?

When clicking on a dashboard, OurSys opens a month by month bar chart for the current financial year. But did you know that you can change the period, say for 5 years, and set whether you wish to see data monthly, quarterly, or financial year wise. For example you can see the last 10 years of Sale Invoice values grouped Financial years wise.

 Best Practice

You must use the Functional Admin feature to remove rights of sensitive departments like Accounts and HR from general Admin and give it to the respective department heads.

This report can be filtered for Job Order Dates, Item No., Item Category, Job Order No, Order No and Job Order Status. You can also filter where the difference between standard cost and actual cost varies over a certain percent.

Information in the report & how to use it:

  • This report shows the comparison between Standard Cost based on BOM and Process Layout cycle time and the Actual Cost based on Actual material lots issued and the actual time taken in production.
  • This report helps to monitor and control profitability.
  • You can filter job orders where the Actual Cost is more than the Standard Cost by more than a certain percent, say 2%.
  • This information is useful in quoting customers in the future.
  • In order to get correct costing, it necessary update correct BOMs, process wise cycle time, Start and end times in production and the Machine per hour rate

 What's new

  • A "Discussion / Task" option is now available in SO Item Wise fulfilment report, allowing users to start a discussion thread or create a task directly against that line item, keeping communication and follow-ups linked to the relevant order line.
  • A new report has been developed which displays the difference in the quoted value and the price list value. This helps to find out the net discounts given by Sales.
  • OurSys now checks the calibration status of the selected instrument/gauges and warns the user if the calibration certificate has expired.
  • In the Leave Approval page "Leave Balance" pop up has been added. It now shows available balances for each leave type, enabling faster and accurate decision-making.

 Case Study

Item master tab wise Access Control

Customer Introduction:

This company is an aerospace component manufacturer.

Challenge

Item master in OurSys has data segregated into tabs based on the departments. Earlier it was assumed that Item master rights will be only with the IT admin. All concerned department will send their information to the IT admin in order to create the item.

Later this company and some other customers wanted to give controlled access of Item master data to relevant departments like Design, Accounts, Purchase and Sales. This was not possible earlier.

The Solution:

We developed a feature to control the access rights department wise by creating a facility to assign user access to individual tabs of Item master.

The Result / Benefits:

Now design generally initiates and creates the Item in the master but cannot see other tabs such as Sales, Purchase & Commercial. Other departments also have access limited to the tab related to their department. Thus the data secrecy related to the Item can be maintained.
